FERRUM

Built by an industrial company that runs its own business on it

The operating system for an industrial business

Clients, deals, warehouse, production, field service, documents and finance — one system instead of 30 separate programs. A native Android app for field staff, one subscription, nothing to buy on top.

Know-how lives in the system, not in the head of an experienced employee: a newcomer picks the right parts, prices and documents — without price lists and without “ask a senior”. Specialists keep the exceptions and the decisions they answer for.

A live walkthrough on your own scenario. All modules in every plan.

Our own working numbers

1.6K
clients in the database
6K
deals handled
2.3K
stock positions
7.1K
documents generated
404
service visits
30
program categories in one

These are not marketing figures — this is our own business, which runs in this system every day. The counters are read from the live database each time the site is updated.

The core

At the centre is the unit at the client — not the deal and not the catalog item

One record carries it from the deal through production, the serial number and passport, installation, telemetry and maintenance to every service visit and the client's own app. The joints between the stages live in one database: there is nothing to connect or synchronise.

  1. 01

A deal sells equipment that is partly in stock and partly to be produced — both at once.

  2. 02

From the deal: a work order to production and a purchase for the missing components.

  3. 03

Production assigns a serial number and a passport and returns the finished unit to the deal; telemetry is layered on top.

  4. 04

When the deal closes, the unit becomes the heart of the client's system — a compressed-air line, for example; filters, a dryer and a receiver become its children.

  5. 05

The heart's run hours — from telemetry or manual readings — pass to every child: components without their own counter are serviced by actual run time, not by the calendar alone. The next maintenance is forecast, and a service order is created from the regimen line.

  6. 06

Instructions, part lists, documentation and protocols are pulled from the product card by themselves — nothing is attached by hand.

  7. 07

Service orders and protocols accumulate on the unit; correspondence stays on the order, the client and the deal.

  8. 08

The client gets a free app of their own with their units: readings, the maintenance schedule, history, documents and a technician call.

Easy to verify: we walk one unit live from the deal to the client's app — on your own scenario. In a stack of separate programs these joints have no owner.

How it works · real data routes

Not demo scenarios. This is how we work — and how you will.

Six real routes that run through the system in our own business. Every step is a click or automation, not “call us back, we will do it by hand”. No export to Excel in the middle.

Deal → Production → Warehouse → Service

  1. 01

Manager closed a deal for industrial equipment with the client's technical requirements and sent a request to the shop floor — a production work order is created.

  2. 02

Production the foreman opens the work order on a phone: the product specification, the route, operations by stage — each with its own instruction and checklist. Starts the work timer and issues materials from the warehouse by scanning QR codes.

  3. 03

Assembly & control enters the product's serial number and the serials of key components (controller, frequency drive). Failed the check — it goes back for rework automatically. Passed — the work order is closed.

  4. 04

Equipment + Service a card of the finished unit is created automatically with its components inside, plus a draft product passport. It is tied to the client's site — for future maintenance.

Instead of: a separate warehouse program + a separate production program + a separate CRM + Excel with specifications + Word passports + a separate equipment database + manual transfers between them

Equipment card → Technician visit → Act → Payment

  1. 01

Equipment the card with a serial number knows the planned maintenance schedule — by the manufacturer's calendar or by your own rules.

  2. 02

Service a week before the date — an automatic service order, an assigned technician, reminders.

  3. 03

Android the technician on site: photos of components, a checklist and a location check-in — even without a connection; the client's finger signature closes the visit.

  4. 04

Finance the act is closed — the amount is billed to the client and is immediately visible in receivables and on the manager's dashboard.

Instead of: Excel maintenance schedules + a technicians' group chat + Word acts + a manual register of issued invoices

A technician visit from the phone: find the equipment → service order → act

  1. 01

Warehouse (phone) the technician on site scans the equipment's QR code or searches by part number — and sees the spare parts in stock and the price.

  2. 02

Service order (phone) opens the service order, starts the duration timer and photographs the component BEFORE the work begins.

  3. 03

Protocol fills in a structured checklist (manufacturer, model, serial number, production date, work done) — everything saves itself, even before completion.

  4. 04

Signature → Act the client signs with a finger on the screen, the technician taps “Finish” — the act of completed work is generated as a PDF and emailed to the client.

Instead of: the technician's notebook + Excel in the car + a trip back to the office to print the act + a courier to the client

The owner sees the company's finances from the car

  1. 01

Treasury (phone) opens “Treasury” — a consolidated balance across all cash desks, banks and customs accounts, with the time of the last update.

  2. 02

Several legal entities sees the breakdown for each legal entity separately: accounts in one bank, accounts in another, every entity with its own balance. Without switching accounts.

  3. 03

Customs separately — customs accounts: how much is frozen in current invoices from foreign suppliers that await clearance.

  4. 04

Cash desk spotted a cash desk in the red (advances issued and not yet closed with documents), opened its operations in one tap — and saw exactly what is hanging.

Instead of: a call to the accountant + an Excel summary + half an hour waiting for an email with the answer

A quote to the client — in seconds

  1. 01

Deal in an open deal you press the “Quote” button — one of the quick actions configured for your role.

  2. 02

Documents a PDF is generated in a second: your legal entity's details, the items from the deal, prices, VAT, your signature and stamp already on the page.

  3. 03

Mail the email goes from your work mailbox with your legal entity's signature and details, not from a faceless no-reply. You do not hunt for attachments in folders: invoices from the deal and the product's technical materials from the knowledge base are added with a checkbox. The client replies to an ordinary mailbox — and the reply lands by itself in the same card you wrote from.

Instead of: a Word template filled in by hand + copying the letter into a mail client + a manual signature at the bottom of the email

Equipment documentation right in the client's unit card

  1. 01

Equipment card the technician opens the card of a specific unit at the client (with its serial number and site) — it has a “Documentation” tab with materials for exactly this manufacturer's model.

  2. 02

Knowledge base the tab has everything on the model: the service manual, the wiring diagram, specifications, the part catalog, the installation instruction. With full-text search.

  3. 03

AI assistant types a question in plain language: “how do I replace the filter elements on this model” — the AI on our own server reads the attached manuals and answers step by step with a link to the exact page. Your data does not go to someone else's cloud.

  4. 04

Files original PDFs, drawings and certificates are attached as well and available offline from the phone.

Instead of: a cabinet of paper manuals + searching for the model on the internet + a call to the senior technician + chat bots with a risk of leaking client data

There are many more such routes — more than a hundred automations are built into the product: budgets with period copying, sequential signing of documents by several people, stock by branch, advances in different currencies with exchange differences, an AI assistant on your own instructions. We show them live in a demo.

Modules · everything in one database

One subscription · all modules · nothing to buy on top

Every module works with the same data. No “synchronisation” between programs, no export and import of spreadsheets. What it looks like in daily work is shown above, in the “How it works” section.

Sales & clients

Clients

The whole client base: companies and sole traders, several contact persons, sites on the map, documents with expiry dates, the history of the relationship.

Deals

A sales pipeline with stages for your process. Several currencies, VAT, fulfilment tracking, an automatic document package for each deal.

Service & tasks

Client equipment

Every unit has a serial number, a passport, a history and maintenance regimens, at the client's site. A unit can be the heart of a line with child units — filters, a dryer, a receiver — which are serviced by its actual run hours.

Tasks

Checklists with a manager's approval, location and time stamps, templates for recurring work. Tasks live next to the deal or the client.

Service & field visits

Technician teams assigned to the client's sites. Visit protocols with photo evidence and a location check-in, deadlines under control.

Equipment telemetry

Controllers on compressors, generators and pumps send pressure, temperature, run hours and alarms into the system. The equipment card shows the state live, and an alarm creates a service order by itself — before the client calls.

Diagrams

A diagram of a compressor room or another installation: place the equipment, and the system picks the connecting parts by connection type and turns the drawing into a priced specification with installation works.

Supply, warehouse, production

Warehouse — stock you can trust

Item-level records: brands, categories, serial numbers, batches, transfers between branches. Every unit has a history — where it came from and who it was sold to.

Production

Product specifications, routes, repair estimates, orders to the shop floor. A direct link to the warehouse and purchasing.

Finance & documents

Documents — the end of copy-paste and Word pain

A quote in 30 seconds instead of 30 minutes in Word. Company details, VAT, signatures (handwritten or facsimile), separate numbering for each legal entity.

Finance

Cash desks and accounts, receipts and payments, several currencies, exchange differences, advances linked to deals. Reconciliation with the bank statement without manual matching.

Company & people

Company — unlimited multi-company

Several of your legal entities in one set of records, switching in a second. Branches with managers, staff with an assignment history.

HR records

Personnel files, orders and business-trip documents.

Recruitment

A candidate pipeline, interview history, links to vacancies. Correspondence with a candidate is kept in their card.

Data, AI, integrations

Analytics

Reports on deals, service, finance and stock: where clients come from, which manager closes how much. Charts and export to Excel.

Knowledge base

Company regulations and equipment documentation: diagrams, service manuals, part catalogs. Tied to models and to specific units at clients.

AI on our own server

The AI runs on our hardware — your letters, documents and client base do not go to someone else's cloud. It answers from your knowledge base and reads equipment nameplates.

Fourteen sections on the phone — not a “mobile version”

A manager closes a deal in a café after the meeting. A technician closes a service order right at the client's site. A shop foreman starts a generator assembly from the phone. The owner sees the cash balance on the way home. From one app, not five chat bots and three programs. An ordinary Android phone replaces a warehouse terminal, a signature tablet and a desk phone.

There is no separate “mobile licence”. One user — as many entry points as needed. On iPhone the web version works in a browser; a native iOS app comes later.

Service orders

A service order with a duration timer, before/after photos, a checklist and the client's finger signature → a PDF act. The client's site on the map, contacts' phone numbers — tap and it dials.

Production

Run the shop floor from a phone: a work order with the product specification, the route, operation statuses and a live work timer. Every operation has its own instruction and checklist. Material issue by scanning, serial numbers of parts, return for rework after quality control.

Warehouse

A QR and barcode scanner in the camera. Search by part number, model or serial; prices and availability by branch. Shelf locations with QR labels — printed straight from the phone. Receiving, issue, picking, stocktaking — it works offline, in a basement without signal too.

Deals + Clients

The full pipeline: leads, drafts, in progress. A “Mine / All” filter, search by company code. Create a new deal at the client's site right after the meeting, without going back to the office.

Tasks

Checklists for employees: planned work, reminders, tasks with a location check-in. These are the company's general tasks — separate from service visits to clients.

Treasury

Finance in your pocket: cash desks by branch, bank accounts of each of your legal entities separately, customs accounts. All live, with a “Refresh” button.

Six main ones are shown here — there are also Communications, Day route, Transport (GPS), Client payments, Photo review and others: fourteen sections in total. Everything works in the browser too — the mobile app is not an alternative or a cut-down version but an equal entrance to the same system.

Six pains we take away

Why FERRUM and not “one more CRM”

01

One truth about the client

−The counterparty lives in one program, stock in another, documents in Excel. A manager calls the client and does not know whether the goods have shipped.

+Change the client's phone number in one place and it is updated everywhere: in deals, documents, call history and invoices.

02

Everything included, nothing to buy on top

−The basic plan looks cheap, then “reports are extra”, “service is extra”, “production is extra”. By the end of the year the bill is three times higher.

+All capabilities are always included. You pay only for the number of users and the storage volume. No surcharges for “advanced functionality”.

03

Your website straight from the system

−A separate site on a website builder, a separate catalog on a marketplace, a separate price list on a shared drive. The item is out of stock — and still listed on the site.

+Our own catalog website lives straight from the database: add an item to stock and it is on the site, remove it and it is gone. We set up the same mechanism for your catalog on your domain — as a separate service.

04

Configuration without programmers

−You want a new document type, deal status, currency or tax rate — a week-long task for a programmer. Until then it is makeshift, in Excel.

+The owner or an admin adds types, statuses, document templates and currencies through an ordinary menu. Five minutes later the new entity works in all modules.

05

Updates do not break your work

−The program updated — half the reports are gone. Managers spend half a day finding what moved where. Support replies “it's the new version”.

+Every client is isolated — updates roll out gradually, with notice. Your work does not stop.

06

A manager works in one tab

−Excel + three messengers + a mail client + an old CRM. Every task lives somewhere else. Half the day goes on “where did I see that”.

+Mail, chat, deal, document, stock, technician visit — one click apart in the same browser tab.

Not against anyone in particular — against the market average

The market vs FERRUM

We do not compare ourselves with a specific product — that would be unfair and inaccurate. We compare with the typical set of programs of a company with 10–50 employees: a general-purpose CRM + separate accounting + Excel for stock + a messenger for service + third-party connectors between them.

Sea import logistics
containers by sea

Tracking by hand on shipping lines' websites, or a separate paid service

Yes

The container is visible right in the purchase: the route on a map, the vessel, ports, dates and an event feed until arrival

One-tap calling

Licences + connectors + implementation + training

Yes

One subscription from €29 a month, by the number of users, with all modules included

Market data — our observations of the business software market in 2024–2026. We deliberately do not name products in the table — each has its strengths, and belittling them is not our job. Our job is to show that a typical company keeps three or more separate programs: an accounting system and Excel at the very least, a CRM if it is lucky, plus messengers — usually three different ones, though they all do the same thing. The same work can be done from one system.

What we promise

Fair rules

We build the system we work in ourselves: first we moved our own business onto it completely — and only then opened it to others. So the rules are simple and the same for us and for you.

Your data is yours

Don't like it? On the first request you get an archive of all your clients, deals, documents and stock in Excel format, or a backup copy of the database. No approvals and no “wait three weeks”.

No “pay more to unlock”

Plans are transparent. The price depends on the number of users and the storage volume — full stop. Legal entities — as many as you need. All functions are available from day one on the smallest plan.

Servers in the EU

The main server is in Finland, backups are in Finland and Germany, the AI server is in Germany. EU jurisdiction. Third-party AI services are off by default: letters and documents are processed by our own server. Telephony for Ukrainian companies runs on a separate server in Ukraine, next to the phone network.

Built by an industrial company

We sell, assemble, install and service compressors and generators — and run all of it in FERRUM: deals, production, warehouse, service visits, telemetry and finance. The system was written for real industrial work first and opened to other companies afterwards. FERRUM itself is developed by RNG Technologies — a separate software company and a Diia.City resident.

Measured on the live system

Not promises: each line was checked on the working system or in the code. How exactly — in the file for AI.

  • ✓Every step of the core chain works on the live system: steps 1–7 on the vendor's own real deals, units and service orders; step 8, the client's app, tested end to end
  • ✓More than a hundred automations are built into the product: one action or event triggers the next step without a person
  • ✓Measured availability since June 2026: about 99.9% — 15 minutes of outages in the last 90 days
  • ✓Multi-tenant SaaS: each company's data is separated inside the database (PostgreSQL row-level security in forced mode)
  • ✓Encrypted off-site backups every night in two places: a storage box in Finland and a server in Germany
  • ✓Monthly automatic restore test of backups
  • ✓Automated integrity checks on live data every 30 minutes — about 30 checks across money, stock, shipments, accounting entries, access and the audit journal

For the client's CTO and IT director

Under the hood

No vendor lock-in at the data level. Don't like it — you get a full copy of the database and leave. It is your data.

DatabasePostgreSQL with forced Row-Level Security — the application cannot read another client's data, by accident or on purpose. Guaranteed at the level of the database itself, not only in code.
QualityThe hardest test is the developer's own business, which lives in the system every day with real money — plus smoke checks.
Audit trailA log of key actions and change history in the cards — you can see who changed what and when.
Sign-in & accessTwo-step sign-in: after the password, a code from an authenticator app; a company can make it mandatory for everyone or for administrators. In the app — a fingerprint lock on every opening. Failed sign-in attempts are throttled, and each one is written to a log that administrators can see.
BackendNode.js + Express
FrontendReact + Vite + Tailwind
MobileAn Android app with 14 sections: service orders, production, warehouse, deals, communications, routes, GPS transport, client payments, treasury and more. Photo capture, finger signature, offline work on site. On iPhone — the web version in a browser; a native iOS app comes later.
AIA self-hosted language model on our own server. Your letters, documents and client data are not sent to OpenAI, Google, Anthropic or other external services.
SignaturesFinger signature on screen and facsimile on documents; a qualified e-signature for Ukrainian keys is applied right in the browser.
DocumentsDocument template editor → server-side PDF generation from your layouts
OCRUkrainian + English, on our own server
Bank statementsStatements from any bank are imported as a file
LogisticsShipsGo (sea container tracking: vessel, ports, voyage events) · Google Maps + OpenStreetMap
TransportGPS trackers on vehicles — a live map and trip history
TelephonyBuilt in: employee extensions, call queues, calls from the browser and the phone, music on hold. The telephony server sits next to the phone network of the client's country — in Ukraine today; for other countries a separate server is set up.
CommunicationsTelegram · IMAP/SMTP with each employee's own mailbox (passwords are stored encrypted)
API for integrationsKeys scoped by area: clients, deals, inventory, equipment, service orders and tasks — read and write; finance — read only. Request limits and a call log per key; a key can never do more than the user it was issued for.
LocalizationInterface — Ukrainian · English · Chinese · message translation between colleagues
HostingFinland — the main server; backups — in Finland and Germany; Germany — the AI server. EU jurisdiction. Third-party AI services are off by default.
BackupsEvery day — a database copy. Every night — encrypted copies outside the main server, in Finland and Germany. Every month — a restore check from these copies.

Unlimited legal entities

The number of legal entities depends on your tax and accounting structure, not on the load on our system. Charging for it would be unfair.

All modules on every plan

Solo has the same functionality as Business. The only difference is the number of users and the storage volume. No “production module — from the Pro plan”.

No surprise charges

When you approach the user limit we warn you at 80% and 95%. At 100% we block creating a new user and suggest moving to a higher plan. No automatic charges for “overage”.

Questions & answers

What people ask most often

General

What is FERRUM and what kind of business is it for?

It is an operating system for a business: what the market sells separately as a CRM, an inventory system, field-service software, equipment records and document management is one program on one database here. It suits any business that sells, services, stores or produces. It is easier to say who would find it too much: a retail shop with a stream of small sales to individuals — it needs neither technician visits, nor production, nor suppliers.

How are you different from an ordinary CRM?

An ordinary CRM ends at clients, deals and tasks. In FERRUM that is only a part: then come warehouse, purchasing, production, field service, documents, finance and HR. Everything runs on one database — without connectors, synchronisations or surcharges for “one more module”.

The product is relatively new — can we rely on it?

The main test of the system is not testers but a real business: the company that develops it runs its own deals, warehouse, production, service and finance in it every day, with real money. No hired tester covers processes in the volumes a live business goes through daily. And we deliberately did not hurry with a public launch: first we moved our own company onto the system completely, worked in it ourselves — and only then opened it to others. Behind the product is not a one-year startup but an operating industrial business that will not give this system up; the software is developed by a separate company, RNG Technologies, a resident of Diia.City.

Where is our data stored and who has access to it?

The main server is in Finland, backups are made every night in Finland and Germany, the AI server is in Germany; EU jurisdiction. Third-party AI services are off by default. Only the FERRUM technical team has access to the servers. Inside the system your employees see exactly what their role allows.

Getting started

We run everything in Excel and messengers — what does the transition look like and who sets it up?

Two ways. On your own, at no extra cost: a ready-made import of products, clients and suppliers, reference lists and built-in guides — you come in and work. Or together with us — but that is no longer software setup, it is designing your business process: we work out where money and time are lost and rebuild the work around the system. A separate project, priced by scope.

How long does it take from the start to real work?

It depends on how deeply you want to use the system. The main modules work out of the box — deals, clients, warehouse and documents need no extra setup, so you can start on day one. Time goes into what is yours: mail, staff, product attributes, reference lists — the deeper you go, the more you enter.

Daily work

We do field service — what does a technician do on the phone?

A standard day: got the tasks, sees the route to the site and the contacts on the spot. Arrived — checked in. Then by your regimen: a checklist with photo or video evidence, the equipment's operating readings, completion of the work, a protocol, the client's finger signature on the screen. If equipment that was not on the list turns up on site, the technician creates a new service order right from the smartphone.

We have several legal entities — how do they live in one account?

Side by side. Clients, contacts, suppliers and the product catalog are shared by all your companies. Deals, purchases, finance, stock and accounting movements are kept separately for each legal entity. You simply do not keep the same thing in different programs, and analytics can show both a single company and the group as a whole.

Can we keep clients' equipment — serial numbers, planned maintenance, history?

Yes, and you should: the system saves time and puts service in order precisely when the equipment is entered in full — serial numbers, sites, maintenance schedules, the visit history of every unit. And with telemetry the machine itself reports run hours, readings and alarms — without manual entry.

Is there assembly and production with material issue from the warehouse?

Yes. A request from a deal goes to the shop floor, the foreman sees the product specification and the route, materials are issued from the warehouse by scanning, and the finished product gets a serial number, an equipment card and a draft passport.

How are invoices, acts and quotes produced — and how are they signed?

Invoices, acts, delivery notes, quotes, contracts and outgoing letters are generated in the program — manually or automatically when an event occurs. Signature: a facsimile or a finger on the screen. Sending takes two clicks from your work mailbox to the contact's address, and the whole sequence of actions is kept in one place.

What can the AI assistant do, and where does our data go when it works?

Nowhere — the language model runs on our own server; your letters, documents and client base do not leave the system. The AI advises on working with the program, on products and their specifications, and on everything you have put into your knowledge base.

Money & terms

How much does it cost and what does the plan depend on?

The plan depends on the number of users: €29 a month for up to 3 users, €129 for up to 15, €369 for up to 50, and from €990 with no limit. All capabilities are in every plan. The number of legal entities is not limited and does not affect the price. Prices exclude taxes.

Can we see the system before deciding?

Yes — book a demo. We walk one unit end to end on your own scenario: from the deal through production and installation to telemetry, the service act and the client's view.

What happens to our data if we decide to leave?

You export it and take it with you: an archive of clients, deals, documents and stock in Excel format, or a full copy of your company's data — on the first request, without approvals.

Support

Who answers when something does not work?

The program has a support centre — you send a request right from the system and the technical team answers. You can also use the website chat or email.

Do updates break a configured setup?

They should not: updates concern the database structure and the modules themselves — they do not touch your information. If something behaves wrongly after an update, it is a defect that we fix, not “a new version, get used to it”.

Ready to swap Excel and five tabs for one?
